For restaurants, offices, schools, warehouses and apartment buildings, calling a pest control company only when there is a problem usually costs more and leaves gaps in audit records. A pest control AMC turns pest control into a planned service. This guide explains what an annual contract should cover, how often visits should be, the service levels to ask for, the reports you should receive, and how to compare quotes fairly.

What is a pest control AMC?

An annual maintenance contract is an agreement between your business and a pest control company for a year of service. Instead of paying per visit, you pay an agreed amount (often in instalments) for:

  • A fixed number of scheduled visits.
  • Treatment of the pests listed in the contract.
  • Monitoring — for example, rodent stations and insect traps.
  • Callouts between scheduled visits when you report a problem.
  • Written reports and certificates.

The main benefits are predictability — both of budget and of service — and a complete record for auditors, landlords and head office.

Pest control AMC coverage: what should be included

Ask for the scope in writing. A typical commercial AMC covers:

How often should visits be?

Visit frequency depends on the risk of the site:

  • Monthly: restaurants, bakeries, food factories, hospitals, hotels and busy offices with pantries.
  • Every two months: most offices, schools and retail shops.
  • Quarterly: low-risk offices, residential buildings' common areas and some warehouses.
  • More often: during an active infestation or before an audit.

Seasonal changes matter too. Many contracts add extra mosquito visits in the monsoon and post-monsoon months, and a termite inspection before swarming season.

Service levels (SLAs) to ask for

A service level agreement sets expectations in writing. Useful SLAs include:

  1. Scheduled visit window — visits happen within an agreed number of days of the planned date.
  2. Callout response time — how quickly a technician comes when you report a problem.
  3. Report delivery — reports provided on the day of the visit or within a set time.
  4. Corrective action — the contractor lists recommendations and follows up on them.
  5. Named contact — a supervisor you can reach directly.
  6. Out-of-hours service — night or weekend visits for sites that cannot close.

Reports you should receive

For audits, your file should contain after each visit:

  • Date and time of the visit and the technician's name.
  • Areas inspected and treated.
  • Products used, with quantities where relevant.
  • Findings at each rodent station and monitor.
  • Pest activity found, and where.
  • Recommendations — for example sealing a gap or repairing a drain cover.

How to compare AMC quotes fairly

Quotes for the same premises can look very different. To compare like with like:

  • Visits per year. A cheaper quote may have fewer visits.
  • Pests covered. Check whether rodents, flies and mosquitoes are included.
  • Stations. How many rodent stations, and are they included or charged separately?
  • Callouts. How many are included?
  • Reports. Is there a written report after every visit?
  • Termites and bed bugs. Included, excluded, or at a discounted rate?
  • Payment terms. Monthly, quarterly or annual?
  • Exit terms. What notice is needed to cancel?

Make a simple table with these rows and one column for each company. The best-value quote is rarely the lowest number.

Warning signs in an AMC proposal

  • No site survey before the quote.
  • Vague scope — "general pest control" without listing pests, areas and methods.
  • No reports or only a signature in a register.
  • No station map for rodent monitoring.
  • Long lock-in with heavy cancellation penalties.
  • Very low price with monthly visits — often a sign of rushed visits or diluted products.

If you see two or more of these, ask for a revised proposal in writing before you sign.

Can I cancel an AMC?

Most contracts allow either side to end the agreement with written notice — often thirty days. Read the exit clause before you sign, and check whether any unused visits or advance payments are refunded. A contractor confident in their service will not lock you in with heavy penalties.

Emergency visits between scheduled services

Pests do not wait for the schedule. A good AMC includes callouts so that a rodent sighting or a cockroach problem in the kitchen is handled within days, not at the next monthly visit. Ask how many callouts are included and what the response time is.
